EduBB is a school-bus and fleet management platform operated by TechBySoul (“we”, “us”). The EduBB Admin app is a business tool for the staff of organisations — schools and fleet operators — that subscribe to EduBB. It gives transport coordinators and administrators a mobile view of the same records they manage on the EduBB web dashboard.
Accounts cannot be self-registered. A user signs in with their organisation domain, an email address and a password issued by their organisation. The organisation is the controller of the data held in its EduBB account; we process that data on the organisation's behalf as its service provider.
The app reads and writes records that already belong to the organisation's EduBB account. Depending on the modules the organisation has enabled and the signed-in user's permissions, these include:
This app does not request or collect the location of the administrator's own device. It declares no location permission. The maps shown in the tracking, playback and geofence screens display the position of the organisation's vehicles, as reported by the EduBB Driver app during active trips.
If the organisation has enabled the assistant, the questions typed into it are sent to our servers, which use them — together with the relevant records from that organisation's own account — to produce an answer. Prompts are not used to train third-party models and are not shared with other organisations. Avoid entering personal details that are not needed to answer the question.
The app contains no advertising, no advertising identifier, and no third-party analytics or ad SDKs.
We do not sell personal data and we do not use it for advertising.
Each organisation's data is kept separate. One organisation's administrators can never see another organisation's records.
All traffic between the app and our servers is encrypted in transit using HTTPS/TLS. The session token and cached data held on the device are stored in an encrypted local store and are cleared on sign-out. Access is limited by role within each organisation. No system is completely secure — keep your password confidential and report any suspected unauthorised access to us.
Organisation records are retained for as long as the organisation's subscription requires them, and thereafter for any period required by law or contract. On sign-out, locally cached data is removed from the device. When retention ends, data is deleted or anonymised where reasonably possible.
Administrator accounts are created and controlled by the subscribing organisation. To have an account deactivated or its personal data removed, contact your organisation's EduBB account owner, who can do this from the EduBB dashboard.
To request deletion of an entire organisation account and the records in it, or to raise a request directly, write to edubb@techbysoul.com from the email address on the account. We will act on the request, or pass it to the controlling organisation, within 30 days.
This app is intended for adult staff of subscribing organisations and is not directed at children. It does display student records — including children's names, classes and transport details — supplied and controlled by the school, so that staff can run the transport operation. That data is never used for profiling or advertising.
We may update this policy from time to time. When we do, the “Last updated” date above changes. Continued use of the app after an update means you accept the revised policy.
