Charter work gets quoted long before it gets costed. A coach goes out at a rate agreed last season, and whether that rate still covers diesel, the driver's night halt and the tyres it wore through is something most offices work out afterwards, if at all. EduBB records the trip and its costs together, so profitability per vehicle and per route is a report you can open.

Then there is the scheduling, which is half the job. Trips, drivers and vehicles are assigned from one console, drivers see their runs on the phone, and passengers on staff transport or a tour follow the coach live.

Live Tracking for Tour & Charter Vehicles

Coaches tracked live

Every vehicle on the map while it is out, with the journey kept afterwards on the trip record.

Trip Planning & Driver Scheduling

Trip planning

Multi-day tours, staff shuttles and one-off charters, each with its own route, stops and timings.

Driver scheduling

Who is out, who is back, who is on leave. Duty and rest live in the schedule and not on a wall chart.

Passenger Tracking & Notifications

Passenger app

Passengers see the assigned vehicle live and hear about delays and route changes without ringing anyone.

Tourist Permit & FASTag Management

Permits and FASTag

Interstate and tourist permits with their expiry dates, plus FASTag balance and toll transactions per coach.

Vehicle & Route Profitability

Profit per charter

Revenue against diesel, driver and workshop cost, per vehicle and per route. Enough to re-price a season on.

Getting started

Four steps. Most fleets are tracking their first trips the same week they load their vehicles.

01

Add coaches and drivers

Vehicles, permits, drivers and their licences, in one go.

02

Plan the trips

Routes, stops and timings, with drivers and vehicles assigned.

03

Run the charter

Drivers start trips from the app and passengers follow live.

04

Cost the season

Profitability per coach and per route, exportable.

2 coaches retired on the numbers

A tour operator finally found out which coaches made money. Two did not, and went. Three charter routes were re-priced on the back of the same report, all inside one season.

Frequently Asked Questions

Questions we get asked most often by travels & charters operators.

  • Can passengers on a charter track the coach?

Yes. The passenger app shows live location of the assigned vehicle for as long as the trip is running, with alerts for delays and route changes. On staff transport contracts this is usually what stops the 8am phone calls.

  • It does. A trip stays open until the driver closes it, so a five-day tour is one journey with its stops, halts and full route history behind it.

  • Revenue for the trip is set against what the vehicle cost to run over it: fuel logged for the journey, the driver assigned, and the coach's share of maintenance and tyre spend. You get the figure per vehicle and per route, and it exports to Excel or PDF.

A demo is a walk through the console with your vehicles, routes and drivers in mind, not a generic tour. Twenty minutes and you will know whether it fits the way you already work.
